About the Role

We have an exciting opportunity for an experienced Hire Controller to join our team in Willawong, QLD.

The Hire Controller will support the day-to-day coordination and administration of plant and equipment hire across AEC and our wider business units, including Pilecom and Bam Bam. Working closely with project teams, suppliers, transport providers and the Plant Department, you will help ensure equipment is available when required, hire movements are accurately recorded, documentation is maintained and equipment is effectively utilised across our projects.

This is a hands-on operational and coordination role suited to someone who is highly organised, detail-focused and confident managing multiple requests and priorities in a fast-paced environment.

Key Responsibilities

• Coordinate the end-to-end equipment hire process, including pre-hire inspections, asset photography, on-hires, off-hires, transfers and return condition inspections.
• Coordinate transport and logistics requirements for plant and equipment movements between projects and locations.
• Assist with project damage assessments and recovery processes where required.
• Coordinate equipment requirements with project teams and assist with sourcing external plant and equipment when required.
• Provide booking support and guidance to project teams to maximise equipment utilisation.
• Assist with hire invoicing, reporting and month-end processes, including plant timesheet reconciliation.
• Maintain accurate plant documentation and plant packs for new hires, including risk assessments, registrations, service history and compliance declarations.
• Monitor and action the Hire Desk shared mailbox, ensuring requests are responded to and followed up in a timely manner.
• Maintain accurate records of equipment movements, hires and returns.
• Support equipment utilisation reporting and identify opportunities to improve asset management and efficiency.
• Work closely with the Maintenance and Plant Department to support operational requirements.
• Provide hire coordination and administrative support across AEC, Pilecom and Bam Bam.
• Build positive working relationships with project teams, suppliers, transport providers and internal stakeholders.

Key Skills and Experience

• Previous experience in equipment hire, fleet management, plant operations, logistics or a similar role within construction, infrastructure, mining or a related industry.
• Strong coordination, scheduling and organisational skills.
• Experience managing multiple priorities in a fast-paced operational environment.
• Strong attention to detail and a focus on accuracy and compliance.
• Experience using asset management, fleet management or hire management systems.
• Strong communication skills and the ability to build effective relationships with internal and external stakeholders.
• Ability to work autonomously while also contributing effectively as part of a wider team.
• Strong computer skills and confidence working with Microsoft Office and business systems.
• Commitment to workplace health and safety and operational excellence.
• Strong time management skills and a proactive approach to problem-solving.
• Forklift Licence desirable.
