About the role

The Receptionist is the first point of contact for clients, visitors and staff, providing high-quality customer service and administrative support across Holstep Health. The role is responsible for reception duties including client enquiries, appointments, client registrations, telephone communications and a range of administrative functions to support the delivery of community health services. The successful applicant will work primarily from the Alamein Road, West Heidelberg site and may be required to work across other Holstep Health locations as operationally required.
You will be responsible for:
Providing a welcoming and professional first point of contact for clients, visitors and staff.
- Supporting a busy reception desk, including incoming calls, enquiries and appointment bookings.
- Registering new clients and maintaining accurate client records.
- Coordinating appointment schedules, reminders and waitlists.
- Processing client service fees and undertaking daily reconciliation tasks.
- Providing administrative support to a range of clinical and community health programs.
- Maintaining reception areas and supporting the smooth day-to-day operation of our sites.
- Delivering high-quality customer service to diverse communities while maintaining client confidentiality.
What you will need to succeed:
- Previous experience in a reception, customer service or administrative role.
- Exceptional communication and interpersonal skills.
- Strong organisational skills and the ability to manage competing priorities.
- A high level of accuracy and attention to detail.
- Confidence using multiple computer systems and Microsoft Office applications.
- Ability to work effectively both independently and as part of a team.
- Commitment to providing excellent customer service to diverse communities.
- Ability to remain calm and professional when managing challenging situations.
- Understanding of and commitment to maintaining client confidentiality.
- Current First Aid and CPR certification, or willingness to obtain upon commencement
