About the role
The Opportunity
We are seeking a proactive and dedicated Administrator to join our Secondary School Team and support the Head of Secondary School. This is a part-time position, Monday and Tuesday from 7:30am to 4:00pm, during school term time. The role is a fixed-term contract until the end of Term 4, 2026, covering maternity leave.
The Senior Secondary School Administrator is integral to the efficient functioning of the Islamic College of Brisbane’s Secondary School. The role will oversee administrative processes with the main objective of providing vital support to the Head of Secondary, ensuring the smooth operation of the day-to-day activities and contributing to the overall success of the Secondary School. The preferred candidate will have strong organisational skills and a collaborative approach, coupled with excellent IT skills, preferably in School systems (i.e. TASS).
Key responsibilities include (but will not be limited to):
Provide administration assistance to the Head of Senior Secondary including managing schedules, coordinating appointments, managing incoming and outgoing communications including email, phone calls and messages.
Organise meetings, prepare agendas, record minutes and follow up on action items as required.
Communicate with parents on behalf of the Head of Senior Secondary, addressing concerns and supplying necessary information.
Draft, review and edit various documents on behalf of the Head of Secondary, including invitations, reports, letters, emails and presentations.
Ensure relevant information in the school’s management system, particularly in TASS and EDVAL is accurate and current.
Assist in uploading and downloading results in QCAA (Queensland Curriculum and Assessment Authority).
Organise logistics for NAPLAN, ICAS, AMC, and other competitions and events, including room bookings and participant information.
Assist with any additional administrative tasks essential to support the overall functionality of the secondary school.
Assist in the documentation of policies, newsletters, prospectus, memos and other documents as required.
Order digital textbooks via the school online platform and troubleshoot student and teacher access issues to digital textbooks as required.
Assist in planning and coordinating events, competitions, workshops and conferences related to the Secondary School to ensure smooth execution.
Collaborate with other administration staff, providing support to the school administration team as required.
Assist in organising students and teacher interviews in preparation for the school newsletter.
Providing customer service and serve customers in a welcoming and professional manner.
Qualification and Essential Criteria required
QLD Blue Card Registration
Administration skills and experience
Experience in The Alpha School System (TASS) is preferable.
Well-developed computer skills in the area of computerised spreadsheets and other associated computer software.
Ability to work under pressure and/ or timeframes; plan and organise workload, and capable of exercising a high degree of database confidentiality.
Self-starter who thrives in a fast pace high volume environment and ability to take ownership and work autonomously on our administration function.
Demonstrated interpersonal and communication skills including the ability to work with all members of the school community both individually and as a member of a team.
