Client Service Officer

About the role

This role suits someone who enjoys structure, order and accountability. You will work closely with advisers, team members, clients and product providers to keep client work progressing, deadlines under control and records maintained to a high standard. This position is full time and based in the office.

Key responsibilities

• Support the end-to-end client service process, including prospective client follow-up, onboarding, implementation and ongoing service tasks.
• Prepare and send authorities, client forms, implementation paperwork and supporting documentation accurately.
• Book client appointments and help keep advisers and clients prepared for meetings.
• Manage client portal tasks, invoices, data collection, fact-find information and CRM records.
• Liaise with product providers, clients and third parties to collect information and progress client work.
• Monitor workflows, deadlines and outstanding actions so tasks are completed on time and nothing falls through the cracks.
• Follow internal checklists, workflows and processes consistently, without skipping steps or relying on memory.
• Carry out quality checks on documentation, implementation actions and file records before work is finalised.
• Keep clients informed in a professional, friendly and timely way.
• Escalate issues early, clarify instructions when unsure and take ownership of follow-through.

About you

• Previous experience in a financial advice client service, paraplanning support, practice support or similar role.
• Full-time availability and willingness to work in the office.
• Demonstrated ability to follow established processes and procedures precisely.
• Exceptional accuracy with client information, data, forms, records and implementation tasks.
• A highly organised, structured and methodical working style.
• Confidence managing competing priorities while maintaining quality and accuracy.
• Good judgement, initiative and the ability to escalate appropriately.
• A habit of asking questions and confirming instructions when something is unclear.
• Professional communication skills with clients, advisers, providers and team members.
• Experience with CRM systems, client portals, provider follow-up, authority forms, implementation paperwork and fact-find data collection will be highly regarded.
