Operations Coordinator

Auriga Group is a safe, focused, customer centric, and dedicated team of Marine and Aviation professionals located across Australia. Auriga Group is made up of three operating divisions, which provide operational services across 20 locations nationally. These operating divisions are Auriga Pilots, Auriga Marine and Auriga Aviation. Our group of companies is involved in facilitating and enabling approximately 50% of all Australian trade nationally by way of Marine Pilotage Services, Marine Logistics Services and Aviation Marine Pilot Transfer Services.

Auriga Pilots provides Marine Pilotage Services for vessels transiting the shipping channels of the Great Barrier Reef. Auriga Pilots also offers customised, highly professional pilotage and advisory services for special ships, including Superyachts, Cruise ships and Military vessels.

About the Role

Reporting to the National Operations Manager, the Operations Coordinator plays a critical role in ensuring the smooth delivery of pilotage operations across our network.

This is a fast-paced and varied position where no two days are the same. You'll coordinate pilot movements, travel and accommodation, vessel scheduling, operational reporting and compliance activities while working closely with pilots, vessel agents, contractors and internal stakeholders.

Success in this role requires exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a high level of customer service.

Key Responsibilities

Operations Coordination

• Coordinate pilot allocations in line with vessel schedules and operational requirements.

• Manage pilot rosters, travel bookings, accommodation and relocations.

• Liaise with pilots, vessel agents, ports and service providers to ensure seamless operations.

• Monitor vessel movements and maintain accurate scheduling information.

• Prepare and distribute operational reports to stakeholders.

• Coordinate helicopter and pilot launch services for pilot transfers.

• Process pilotage documentation and maintain operational records.

• Ensure comprehensive shift handovers and operational continuity.

Compliance and Safety

• Monitor pilot fatigue and ensure compliance with fatigue management requirements.

• Track licences, medicals, certifications and training requirements.

• Conduct monthly fatigue audits and prepare compliance reports.

• Support adherence to AMSA requirements, company procedures and operational standards.

• Maintain accurate records and documentation in line with regulatory requirements.

Training and Continuous Improvement

• Coordinate pilot training, recertification and development activities.

• Support onboarding and training of new team members.

• Contribute to process improvements and operational efficiencies across the business.

Qualifications & Experience

Strongly Preferred

• Experience in marine, transport, aviation, logistics, emergency services or other 24/7 operational environments.

• Knowledge of fatigue management and compliance frameworks.

• Experience using rostering, scheduling or CRM systems.

This role operates within a rotating roster that provides operational coverage 365 days per year and may require work outside standard business hours, including weekends and public holidays.
