💫 The OpportunityThis is a genuinely varied, multi-function role at the heart of everything FIA does. You'll wear three rewarding hats — Event Program Builder, RTO Operations Champion, and Admin & Executive Support All-Rounder — all within one dynamic position.
You'll be the critical link between our expert presenters, our students, our CEO and the wider fire protection industry. No two days are the same, and your contribution will be visible, valued and directly linked to the quality of education we deliver across Australia.
No prior RTO or fire protection industry experience? No problem — we provide full training for the right candidate.
🎪 What You'll DoResearch and engage with the fire protection industry to identify compelling seminar and webinar topics and presenters — taking ideas from concept all the way through to delivery.
Set up and manage end-to-end event logistics for webinars and seminars using event management software.
Serve as the primary liaison for expert presenters — developing event briefs, coordinating schedules and assisting with the formatting of presentation materials.
Develop and execute marketing campaigns across email, SMS and social media to drive event attendance and build the FIA brand.
Be the friendly, knowledgeable face of the Academy — guiding prospective students on course selection and resolving queries from existing students with care and accuracy.
Schedule and coordinate trainers and assessors to ensure seamless course delivery.
Oversee and quality-check key administrative functions and mandatory RTO reporting.
Apply a compliance mindset and keen attention to detail to support our strict RTO regulatory obligations — maintaining accurate student records at all times.
Provide administrative support to the Chief Executive Officer and assist with ad-hoc business projects including basic financial admin (expense tracking, receipt reconciliation) and staff onboarding.
Manage general business inboxes and act as the first point of contact for enquiries outside of training and events.
Design promotional materials, create graphics and manage routine website updates to maintain brand consistency using tools such as Canva, Mailchimp and similar platforms.
Oversee day-to-day office operations — ordering supplies and liaising with external vendors (cleaners, building management) to ensure a smooth working environment.
Proven coordination or administrative experience — you know how to keep multiple priorities moving across different departments simultaneously.
Hands-on experience using generative AI tools (ChatGPT, Gemini or similar) to work smarter, draft content and streamline workflows — you embrace technology to get things done efficiently.
A compliance mindset — you understand that in accredited training, accuracy and attention to detail are non-negotiable.
Comfortable with event management software, marketing tools and basic design platforms (Canva, Mailchimp, CRM systems).
Excellent written and verbal communication skills — confident liaising with students, industry presenters and external vendors.
A dynamic, proactive problem-solver who thrives on variety and is eager to learn.
Prior RTO experience or a background in the fire protection industry is highly regarded — but not essential. Full training provided for the right candidate.
