Full-Time Position

Role OverviewAGAE is seeking an experienced and highly capable Operations Manager to take ownership of the day-to-day operations of the RTO.
This is a senior management role requiring extensive experience in the Australian VET sector, government-funded training, funding applications, compliance, VETtrak, policies and procedures, trainer management, student progression, quality assurance, student recruitment and business growth.
The successful applicant will work closely with senior management, compliance, administration, trainers and assessors to ensure AGAE operates efficiently, remains compliant and continues to grow.
Key ResponsibilitiesOversee day-to-day RTO operations across training, administration, compliance and student management.
Manage timetables, trainer allocations, class schedules and resources.
Coordinate course commencements, ongoing classes and student completions.
Monitor enrolments, attendance, progression, assessments and course outcomes.
Ensure delivery aligns with approved Training and Assessment Strategies.
Monitor operational deadlines and ensure requirements are completed on time.
Identify operational issues, risks and areas for improvement.
Work across departments to maintain efficient and compliant RTO operations.
Prepare and submit government funding applications, tenders and provider applications.
Manage renewals and continuation applications for existing funding contracts.
Identify new government-funded training opportunities across Australia.
Support AGAE's expansion into additional States and Territories.
Monitor relevant government tender portals and funding opportunities.
Prepare supporting documentation, responses and evidence for submissions.
Coordinate information from management, finance, compliance and training teams.
Ensure applications are accurate, complete and submitted within required deadlines.
Maintain current knowledge of funding contracts, guidelines and provider obligations.
The successful applicant must have extensive practical knowledge of:

South Australian Skills SA funding
Western Australia TAMS and Jobs and Skills WA funding
Funding tenders, applications and contract renewals
Student eligibility and evidence requirements
Enrolment, commencement, participation and progression requirements
Funding claims, reporting and record keeping
State funding portals and reporting systems
Funding audit preparation and rectification
AVETMISS requirements
Experience with funding applications or contracts in other Australian States and Territories will be highly regarded.
Government-Funded Training OperationsMonitor funded training compliance across Victoria, South Australia, Western Australia and other applicable jurisdictions.
Ensure student eligibility and funding evidence is complete and compliant.
Monitor claims, participation, progression and supporting evidence.
Review funding processes and identify compliance risks.
Ensure staff understand and follow current funding requirements.
Keep up to date with changes to funding contracts, guidelines and provider obligations.
Coordinate funding audits, rectification and corrective actions.
Use VETtrak extensively to manage enrolments, attendance, progression, results and completions.
Ensure data is accurate, complete and current.
Monitor staff data entry and maintain data integrity.
Review reports for missing results, outstanding assessments and attendance concerns.
Conduct regular data integrity checks.
Support AVETMISS reporting and State funding submissions.
Use VETtrak for audits, internal reviews and management reporting.
Identify and resolve VETtrak data issues.
Maintain extensive knowledge of RTO policies, procedures and operational requirements.
Review and update policies, procedures, forms, templates and internal processes.
Ensure policies remain aligned with regulatory and funding requirements.
Maintain appropriate version control.
Ensure staff understand and consistently follow approved policies and procedures.
Identify policy and procedural gaps and implement improvements.
Develop new procedures in response to regulatory, contractual or operational changes.
Maintain strong knowledge of current RTO regulatory and compliance requirements.
Work closely with senior management and compliance staff to maintain ongoing compliance.
Monitor training and assessment practices and documentation.
Coordinate validation and moderation activities.
Review learning and assessment resources.
Identify compliance risks and implement corrective actions.
Assist with internal audits, ASQA audits and government funding audits.
Maintain audit-ready evidence and monitor corrective actions.
Support continuous improvement across the RTO.
Coordinate the development and review of Training and Assessment Strategies.
Ensure TAS documents reflect actual delivery and assessment practices.
Review assessment tools, learning resources and supporting documentation.
Ensure resources remain current, compliant and industry relevant.
Work with trainers and industry representatives to maintain industry relevance.
Ensure facilities, equipment and resources are suitable for delivery.
Lead, supervise and support trainers and assessors.
Assist with trainer recruitment, induction and onboarding.
Monitor trainer performance, workloads and training delivery.
Conduct trainer meetings and performance reviews.
Coordinate professional development.
Monitor trainer qualifications, credentials, vocational competency and industry currency.
Ensure trainer files remain complete and audit ready.
Provide guidance regarding assessment, compliance, student support and funding requirements.
Oversee student orientation and commencement processes.
Monitor attendance, progression, outstanding assessments and completions.
Identify students at risk and coordinate appropriate support and intervention.
Ensure complaints, concerns and feedback are handled appropriately.
Work with administration to maintain accurate and complete student records.
Promote a professional, inclusive and supportive learning environment.
Actively support AGAE in finding, attracting and enrolling new students.
Assist management with strategies to increase enrolments.
Support recruitment for government-funded and fee-for-service programs.
Build relationships with employers, community organisations, referral partners and industry contacts.
Identify opportunities for new cohorts, employer-based training and workplace delivery.
Assist with information sessions, open days and community engagement.
Work with marketing and administration to follow up enquiries and improve enrolment conversion.
Build sustainable student pipelines across Victoria, South Australia, Western Australia and future markets.
Identify new qualifications, locations, partnerships and training opportunities.
Ensure recruitment and marketing activities comply with regulatory and funding requirements.
Build and maintain relationships with employers, industry representatives and key stakeholders.
Coordinate and document industry consultation.
Ensure industry feedback is incorporated into training and assessment.
Identify employer partnerships and commercial opportunities.
Support relationships with government departments and funding bodies.
Monitor industry changes affecting training and assessment.
Monitor enrolments, attendance, progression, completions, withdrawals and assessment outcomes.
Monitor trainer performance and operational KPIs.
Monitor enquiry-to-enrolment conversion and funded training performance.
Prepare operational reports for senior management.
Identify operational, compliance, funding and enrolment risks.
Implement and monitor continuous improvement and corrective actions.
The successful applicant must have:
Extensive experience as an Operations Manager, RTO Operations Manager, Training Manager or similar senior RTO professional.
Extensive knowledge of the Australian VET sector and RTO regulatory requirements.
Extensive knowledge of RTO policies, procedures and compliance systems.
Extensive practical knowledge of Victorian Skills First funding.
Extensive practical knowledge of South Australian Skills SA funding.
Extensive practical knowledge of Western Australia TAMS and Jobs and Skills WA funding.
Demonstrated experience managing government-funded training across multiple States.
Demonstrated experience with government funding applications, tenders, renewals and contracts.
Ability to identify and pursue new government funding opportunities across Australia.
Strong knowledge of funding contracts, eligibility, evidence, reporting and audit requirements.
Extensive VETtrak experience.
Strong knowledge of AVETMISS and State-based reporting.
Experience using government funding portals and systems.
Experience preparing for ASQA and government funding audits.
Experience managing audit rectification and corrective actions.
Experience reviewing Training and Assessment Strategies, assessment tools and resources.
Experience coordinating validation activities.
Experience managing trainers and maintaining trainer compliance and currency records.
Experience monitoring student progression and completions.
Experience supporting student recruitment and business development.
Experience working with employers, industry and community organisations.

Previous responsibility for an RTO operating across Victoria, South Australia and Western Australia.
Demonstrated success securing or managing government-funded training contracts.
Experience preparing government tenders and funding submissions.
Experience with funding arrangements in additional States or Territories.
Advanced VETtrak and TAMS experience.
Experience developing and implementing RTO policies and procedures.
Experience in VET student recruitment or business development.
Existing employer, industry, community or referral networks.
Trainer and assessor qualification or previous vocational training experience.
Relevant qualification in education, training, management or business.
We are looking for someone who is highly experienced, proactive and commercially minded, with the ability to manage a complex RTO environment with minimal supervision while supporting AGAE's continued growth.
