Quanta Services Australia is entering an exciting phase of growth, and we're building our Executive office in Melbourne.
We're looking for a capable, energetic and highly organised Executive & Office Coordinator who enjoys variety and wants a role that extends well beyond traditional executive support.
Working closely with our President/CEO, CFO and Executive Leadership Team, you'll help keep our executives, office and key business activities moving. One day you might be coordinating executive diaries and travel, the next organising a leadership workshop, helping solve an office issue or keeping an important business project on track.
This role will suit someone who likes being involved, takes initiative and isn't interested in staying inside a narrow job description.
Previous experience in power, infrastructure, construction, engineering, mining, resources, oil & gas or another heavy industry environment is important to us. Candidates will need to have a strong understanding of the EPCM or EPC environments.
This is a broad coordination role combining executive support, office coordination and project support.
You'll be responsible for:
Providing day-to-day support to the President and CFO, including diary management, meetings, travel and priorities.
Helping coordinate the Melbourne office and ensuring things run smoothly day to day.
Acting as a central point of coordination for executives, employees, visitors and external stakeholders.
Coordinating leadership meetings, workshops, events and off-site sessions.
Organising domestic and international travel and preparing itineraries.
Preparing presentations, reports, meeting materials and other executive documentation.
Coordinating office activities, suppliers, facilities and general workplace requirements where needed.
Supporting company events, executive functions and team activities.
Helping coordinate projects and business initiatives, including timelines, actions, follow-ups and stakeholders.
Keeping actions moving after executive and leadership meetings.
Supporting new systems, processes and business improvement initiatives.
Managing expenses and other executive administration.
Handling sensitive and confidential information appropriately.
Spotting things that need doing and taking ownership rather than waiting to be asked.
As Quanta Services Australia continues to grow, we expect this role to grow with it.
We're less interested in someone who has followed a traditional EA career path and more interested in finding a versatile, commercially minded coordinator who can turn their hand to a range of responsibilities.
You'll ideally have:
Around 5–10 years of professional experience, with experience across executive support, office coordination, administration and/or project coordination.
Experience working within EPCM or EPC companies in power, infrastructure, construction, engineering, mining, resources, oil & gas or a related heavy industry.
Experience supporting senior leaders and working confidently with executives.
Strong organisational skills and the ability to keep multiple priorities moving at once.
A practical, hands-on approach – if something needs doing, you're comfortable getting involved.
Strong communication skills and the confidence to deal with people at all levels of an organisation.
The ability to work independently, use judgement and solve problems without needing constant direction.
Strong Microsoft Office skills, particularly Outlook, PowerPoint, Word and Excel.
An interest in taking on projects, improving processes and learning new areas of the business.
Experience supporting projects, coordinating offices, implementing new systems or assisting with ERP/business system rollouts would be particularly valuable.
