About the role
Administration Assistant / Medical Receptionist – Allied Health Practice
Part-time or Casual | 22+ hours per week | Canberra
We are an established allied health practice in northside Canberra seeking a friendly, capable and highly organised Administration Assistant / Medical Receptionist to join our team.
Our practice provides a busy but supportive environment where patient care, professionalism and teamwork are highly valued. We work with patients across a broad range of ages and needs, and are looking for someone who enjoys helping people and takes pride in keeping a workplace organised and running smoothly.
This is a varied position combining reception and administration with practical clinic support. It would suit someone who enjoys interacting with people, can confidently manage competing priorities, and is equally comfortable helping at reception or completing practical tasks behind the scenes.
Your responsibilities will include:
Reception & Administration
Welcoming patients and responding to enquiries in a friendly and professional manner
Answering telephone calls and assisting with bookings and general enquiries
Managing appointments and maintaining accurate patient records
Processing payments and assisting with daily reconciliation and general accounts administration
Liaising with patients, suppliers, health professionals and other stakeholders
Managing incoming and outgoing correspondence
Using practice management and general business software
Assisting with general administrative tasks required for the day-to-day operation of the practice
Clinic Support
Preparing treatment rooms and assisting clinicians with appointment set-up
Restocking treatment rooms and monitoring clinic supplies
Resetting and cleaning treatment areas between patients
Instrument processing and sterilisation
Assisting patients with product enquiries and purchases
Ordering stationery, clinical supplies and equipment
Assisting clinicians with documentation, correspondence and assessments
Supporting patients with clinician-prescribed exercise programs
Assisting with the preparation and finishing of orthotic devices
Training will be provided for clinic-specific duties.
We are looking for someone who is dependable, personable and takes initiative.
You will ideally:
Have excellent communication and interpersonal skills
Be confident and professional on the phone and in person
Enjoy providing a high standard of customer service
Be empathetic and comfortable working with patients from different backgrounds and age groups
Have strong attention to detail
Be able to manage several tasks and competing priorities at once
Be confident using computers and learning new systems
Be organised and able to work independently when required
Work well as part of a small team
Be comfortable receiving direction and constructive feedback
Take pride in maintaining a clean, organised and professional workplace
Be willing to assist with practical clinic tasks, including cleaning and treatment-room preparation
Have strong written and spoken English communication skills
Have unrestricted Australian working rights
Be willing to meet relevant healthcare workplace vaccination requirements
While not essential, we would particularly welcome applicants with:
Previous medical or allied health reception experience
Reception, administration or customer service experience
Experience working in a healthcare environment
An interest in allied health
Experience with social media or written content for a business
Applicants without healthcare experience are also encouraged to apply if they have strong customer service, administration and organisational skills.
This position is available on a part-time or casual basis, with approximately 22+ hours per week available.

An hourly rate relevant to the Health Professionals and Support Services Award will be offered.
Remuneration will be negotiated based on the successful applicant's experience, skills and employment arrangement.
