Total Metering Services (TMS) is a leading provider of metering services across Australia. We are seeking a proactive and customer-focused Customer Support & Scheduling Administrator to join our growing operations team.

About the RoleAs the Customer Support & Scheduling Administrator, you will be responsible for coordinating technician schedules, supporting daily operations, and providing exceptional customer service to our clients and customers. You will work closely with our field teams to ensure work is efficiently planned, communicated, and completed while maintaining accurate records across multiple systems.
This is a full-time position working Monday to Friday from our Helensvale office.
Key ResponsibilitiesCoordinate and schedule daily work activities for field technicians to maximise productivity and service delivery.
Monitor technician workloads and proactively adjust schedules to accommodate new work, urgent requests, cancellations, and operational changes.
Liaise professionally with customers, clients, technicians, and internal stakeholders to coordinate appointments and resolve scheduling enquiries.
Confirm completed work, reconcile daily job status, and ensure all work orders are accurately updated and finalised.
Maintain accurate records by updating client portals, scheduling systems, databases, and internal systems.
Monitor service requests, customer enquiries, and escalation emails, ensuring timely action and resolution.
Conduct customer appointment confirmations and follow-up communications, maintaining consistent contact throughout the scheduling process.
Record detailed notes and maintain accurate documentation of customer interactions and job updates.
Identify potential scheduling conflicts or service delays and implement effective solutions to minimise operational disruption.
Provide administrative support to the Operations team and contribute to the continuous improvement of scheduling processes and customer service standards.
To be successful in this role, you will have:
Previous experience in customer service, scheduling, service coordination, or administration.
Excellent verbal and written communication skills with the ability to build positive relationships.
Strong organisational and time management skills, with the ability to prioritise competing tasks.
High attention to detail and excellent problem-solving abilities.
Basic to intermediate Microsoft Office skills, particularly Microsoft Excel, Outlook and Word.
Experience using scheduling, CRM, or job management systems (desirable).
The ability to work independently while contributing to a collaborative team environment.
A positive, proactive attitude with a strong commitment to delivering exceptional customer service.
