About the role
Reporting to the Directors and working closely with our operations and sales team, you will take ownership of the day-to-day accounts and administration functions to keep the business running smoothly.
Key responsibilities
Process daily hire dockets and prepare sales invoicing from our hire system
Manage Accounts Receivable & Payable – invoicing, reconciliations, follow-ups and payments
Reconcile driver timesheets, subcontractor invoices and supplier statements
Assist with payroll preparation, including collating hours and allowances
General administration – filing compliance documents (tickets, insurance, SWMS), data entry and record keeping
Support the Operations Manager with end-of-month reporting and BAS preparation for our accountant
Answer incoming calls and assist with customer and driver queries when required
About you
Proven experience as an Accounts Administrator, Bookkeeper, or Accounts Assistant
Strong attention to detail and high level of accuracy with numbers
Confident with Xero and Microsoft Excel
Excellent communication and organisation skills – you can chase a docket and keep things friendly
Ability to work autonomously and manage your own workload across 3 days
Full Australian unrestricted working rights
Experience in plant hire, transport, logistics or civil construction industries (highly desired)
Understanding of subcontractor / driver payments and hire invoicing (highly desired)
Certificate in Bookkeeping / Accounting is a plus, but not essential

Based in Tullamarine, Plant Hire Solutions Australia is a specialist plant hire company providing earthmoving solutions, wet-hire plant & machinery, and acting as an agent for truck drivers to civil construction jobs across Melbourne and regional VIC. We are a busy, growing business.
