About the role
Casual | Minimum 2 days a week
About Ladybug House 🐞Ladybug House is a family-owned paediatric allied health clinic with locations across Melbourne and the Gold Coast, providing Occupational Therapy and Speech Pathology services to children and their families.
We’re passionate about the work we do and the difference we can make—not only for the children and families we support, but also for each other and our broader community.
We’re looking for a warm, organised and caring Receptionist / Administration Officer to join our Keilor East team.
As the welcoming face of our clinic, you’ll play an important role in creating a positive, supportive experience for the children and families who visit us. You’ll be someone who genuinely enjoys helping people, takes pride in being organised, and can confidently manage a busy reception environment.
This is a casual role working 2 days per week, with the flexibility to pick up extra shifts.
Our clinic hours are 8:30am–5:00pm, Monday to Friday, with no late nights or weekends.
Greeting and welcoming clients to the clinic
Managing phone, in-person and online enquiries
Scheduling, rescheduling and filling appointment cancellations
Maintaining accurate records and data entry in Splose (our practice management software)
Processing payments via Tyro (in-person and over the phone)
Light cleaning duties and supporting the broader team with general administration
You’re a people-focused, empathetic and organised person who understands that reception is about much more than answering phones and booking appointments.
You’ll be comfortable working with children and families, able to build rapport quickly, and confident managing competing priorities in a busy environment. You’ll bring a calm and positive approach to your work and enjoy being part of a close-knit team.
You'll need
Strong communication and computer skills
Current Working with Children Check
Permanent Australian working rights with no restrictions
It's preferred you have:
Minimum 2 years' reception or admin experience in a healthcare setting
Familiarity with NDIS and Medicare frameworks
Confidence with practice management software and Google Suite (Splose experience a bonus)
At Ladybug House, you’ll be joining a supportive, family-owned team where the work you do genuinely matters.
You’ll have the opportunity to contribute to a warm clinic environment, build meaningful relationships with families and clinicians, and be part of a team that is passionate about helping children thrive.
Interested?
If you’re a warm, capable and organised administrator who would love to be part of a paediatric allied health team, we’d love to hear from you.
To be considered for the role please attach a cover letter, along with your resume, detailing the days and times you are available to work.
Pleased note: Due to the high number of applications anticipated, only successful applicants will be contacted. If you have not heard from us within 10 business days, unfortunately your application has been unsuccessful on this occasion. Thank you for your understanding.
