VIC - Melbourne - 655 Collins StService Stream is seeking a proactive and customer-focused Facilities Coordinator to support the effective management and operation of our national property portfolio and associated assets.

This role is responsible for the day-to-day administration, maintenance coordination, and operational support of the Group's properties, facilities, and miscellaneous plant and equipment. Working closely with internal stakeholders, landlords, contractors, and service providers, you will help ensure our workplaces are safe, compliant, efficient, and fit for purpose.

Facilities Operations & Service Delivery

• Coordinate the day-to-day management of Service Stream's property and facilities portfolio.
• Ensure facilities are safe, compliant, operational, and maintained to a high standard.
• Manage maintenance requests and facilities enquiries, ensuring timely resolution and escalation where required.
• Maintain asset registers, facilities schedules, and preventative maintenance programs.

Contractor & Supplier Management

• Coordinate contractors and service providers, including cleaning, HVAC, fire services, security, and maintenance vendors.
• Maintain records relating to contracts, warranties, insurances, and service agreements.
• Monitor supplier performance and support contract renewals and continuous improvement initiatives.

Property & Stakeholder Management

• Liaise with landlords, property managers, and internal stakeholders on tenancy, maintenance, and facilities matters.
• Support the delivery of property-related projects, ensuring outcomes are achieved within budget and timeframes.

Compliance, Safety & Governance

• Support Workplace Health & Safety compliance across all facilities.
• Ensure contractors and facilities operate in line with legislative, corporate, and industry requirements.
• Assist with reporting, audits, inspections, and continuous improvement activities.

Budget & Reporting

• Assist in managing facilities expenditure and budgets.
• Monitor and report on maintenance activities, contractor performance, and operational outcomes.
• Support cost-effective facilities and asset management practices.

About you

• Minimum 3 years' experience in facilities, property, or asset management.
• Experience coordinating contractors, maintenance programs, and property services.
• Strong understanding of facilities and property management practices.
• Excellent organisational and time management skills, with the ability to manage multiple priorities.
• Strong stakeholder engagement and relationship-building skills.
• Demonstrated analytical, problem-solving, and decision-making ability.
• Experience managing budgets and monitoring expenditure.
• Adaptable, proactive, and able to thrive in a fast-paced environment.
• Strong communication and customer service focus.
• Advanced Microsoft Office skills, including Excel, Outlook, Word, and Project.

• Relevant tertiary or trade qualification in Facilities Management, Property, Building Services, or a related discipline (preferred).
