Residential HVAC Service Co-ordinator

Smarter Air is growing! We are seeking an organized, motivated Service Team Coordinator to join our HQ in Loganholme. In this role, you will be the engine room of our service department—managing schedules, dispatching our residential HVAC Technicians across South-East Queensland, and ensuring our customers receive a seamless, top-tier experience.

What you'll be doing

• Field Dispatch & Scheduling: Route, assign, and manage daily job schedules for our residential HVAC Service & Installation Technicians using job management software

• Team Support: Serve as the main point of contact for techs on the road, assisting with job updates, parts coordination, and roster adjustments

• Customer Communication: Handle incoming service requests, book maintenance appointments, and keep clients updated on technician arrival times

• Workflow & Admin: Process job sheets, manage invoicing queues, update client records, and coordinate warranty claims

• Operations Support: Work closely with management to optimize field efficiency and improve overall customer satisfaction

What we're looking for

• 2+ years of experience in dispatch, scheduling, or service coordination (HVAC, electrical, plumbing, or tradie/field service industry experience is highly regarded)

• Exceptional organizational and multi-tasking skills with strong attention to detail

• Excellent phone manner, customer service skills, and conflict-resolution ability

• Proficiency with job management software (e.g., ServiceM8, SimPRO, Jobber, or similar) and standard office tech

• A proactive, calm-under-pressure mindset and the ability to keep a team of road-based technicians running smoothly
