Proposals Coordinator/Administrator

About the Role

We are seeking a highly organised and detail-oriented Bid Coordinator to join our team. This role is responsible for coordinating the preparation, submission, and management of bids, tenders, proposals, and expressions of interest (EOIs) to support business growth and secure new opportunities.

Working closely with internal stakeholders and operational teams, you will collaborate with operations, project delivery, procurement, and leadership teams, including the CEO, COO, and Operations Managers, to ensure all submissions are compliant, compelling, and delivered on time.

Key Responsibilities

• Coordinate the end-to-end bid and tender process.

• Review tender documentation and identify requirements, risks, and deadlines.

• Develop bid plans, timelines, and submission schedules.

• Gather, edit, and format content from key stakeholders.

• Prepare high-quality proposals, tenders, and EOIs.

• Maintain and update bid libraries, templates, and supporting documentation.

• Ensure all submissions meet compliance requirements and client expectations.

• Coordinate review meetings and manage approval processes.

• Track tender outcomes and capture lessons learned to support continuous improvement.

• Support business development initiatives and marketing activities as required.

About You

• Previous experience in a Bid Coordinator, Tender Coordinator, Proposal Coordinator, or similar role.

• Strong written communication and document preparation skills.

• Exceptional attention to detail and organisational abilities.

• The ability to manage multiple deadlines and competing priorities.

• Strong stakeholder engagement and relationship-building skills.

• Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.

• Proficiency with estimating software/tools and advanced hands-on knowledge of MS Project.

• Experience working within construction, infrastructure, engineering, professional services, mining, or related industries will be highly regarded.

• Deep technical knowledge of utility infrastructure installation, civil works, pipelines, underground services, and associated methodologies.
