Role Description

The role of the facilities Coordinator is to assist the Facilities Management team in the successful delivery of services and to provide facilities administration duties in accordance with company policies, procedures and processes.

The role will have set KPIs and goals in place in line with its duties & responsibilities against which the candidate will be measured on an ongoing basis through performance reviews.

This role is based in Sydney office.

Main Duties

• Coordinate reactive and planned maintenance activities, ensuring work orders are allocated and completed efficiently within contractual and client requirements.
• Monitor work orders, maintenance performance, and key service metrics to support timely service delivery and continuous improvement.
• Maintain accurate building asset and property data, ensuring compliance with statutory regulations and industry standards.
• Build strong relationships with clients, contractors, and stakeholders to deliver exceptional customer service and meet client expectations.
• Support contractor onboarding, inductions, and compliance activities to ensure safe and effective service delivery.
• Assist with procurement and vendor management, ensuring services are delivered on time, within budget, and in line with procurement guidelines.
• Identify opportunities to improve processes, enhance service delivery, and achieve operational efficiencies and cost savings.
• Work collaboratively with the Facilities Manager and Operations Lead to support day-to-day facilities operations and resolve maintenance issues effectively.

Experience

• Strong Computer literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions contracts are continually assessed substantial experience working in an FM environment

• Strong customer service focus with excellent people skills and ability to interact with a wide range of client staff and demands

• Understanding of basic technical aspects of property (chiller systems, fire protection systems, mechanical & electrical systems, BMS systems) is advantageous

• Knowledge of work health and safety requirements

• Track record of excellent customer service and service delivery

• Have a clearance to work with Children in NSW or ability to obtain one.
