Project Administrator

We are seeking an experienced and highly organised Project Administrator to join our team and provide essential administrative support to our project managers and site teams.

About the Role

As a Project Administrator, you will play a key role in ensuring our projects run efficiently by coordinating documentation, schedules, procurement, and communication between clients, suppliers, subcontractors, and project teams.

Key Responsibilities

• Provide administrative support across multiple construction and renovation projects.
• Coordinate project schedules, meetings, and site appointments.
• Prepare and maintain project documentation, including contracts, quotations, purchase orders, variations, invoices, and progress claims.
• Liaise with clients, subcontractors, suppliers, and project managers regarding project requirements and timelines.
• Track project milestones and assist in monitoring budgets and project costs.
• Process supplier invoices and maintain accurate financial and project records.
• Coordinate material orders and monitor deliveries to project sites.
• Prepare reports, meeting minutes, and project updates.
• Maintain electronic and hard-copy filing systems.
• Assist with compliance documentation, permits, insurances, and workplace health and safety records.
• Support project managers to ensure projects are delivered on time and within budget.

About You

To be successful in this role, you will have:

• Previous experience as a Project Administrator within the construction, renovation, or building industry.
• Strong knowledge of construction project administration processes.
• Excellent organisational and time management skills.
• High attention to detail and the ability to manage multiple projects simultaneously.
• Excellent written and verbal communication skills.
• Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and project management software.
• Experience preparing project documentation and coordinating subcontractors.
• Ability to work independently while contributing effectively within a team.
• A proactive attitude with strong problem-solving abilities.

Desirable

• Certificate IV, Diploma, or Bachelor's qualification in Business Administration, Project Management, Construction Management, or a related discipline.
• Experience using construction management software such as Evolution, FMweb, Xero, Stream, etc.
• Knowledge of Australian construction documentation and WHS requirements.
