A growing national cleaning and facility services company is seeking an experienced Business Operations Manager to lead its Business Support team and work directly with the CEO.
This is a newly evolving role within the business, offering the successful candidate the opportunity to work closely with the CEO to define its structure, priorities and future direction.
The most important requirement is proven people-management capability. We need a confident and accountable leader who can step in, manage a team, improve performance and ensure people and processes work effectively together.
The role will have broad exposure across business support, finance administration, client success, compliance, reporting and senior management coordination.
Reporting directly to the CEO, the Business Operations Manager will lead the Business Support team and oversee the systems, processes and reporting that support the broader organisation.
You will ensure the team has clear responsibilities, priorities and performance expectations. You will step in when support or direction is required, resolve workflow issues and hold team members accountable for delivering accurate and timely outcomes.
Working closely with the CEO and senior managers, you will help connect the different areas of the business and ensure actions, information and decisions are communicated and followed through.
This role is still emerging as the business continues to grow. You will need to be comfortable working through its development with the CEO, identifying what the business needs and helping build the processes, structure and reporting required to support its next stage.
Leading, supporting and developing the Business Support team
Establishing clear responsibilities, priorities and performance expectations
Allocating workloads and ensuring tasks are completed accurately and on time
Conducting regular team meetings, performance discussions and one-on-one reviews
Coaching team members and identifying training and development requirements
Addressing performance, accountability or communication concerns promptly
Supporting recruitment, onboarding, probation reviews and team development
Building a positive, accountable and high-performing team culture
Stepping into day-to-day management matters when additional leadership is required
Overseeing the daily workflows and priorities of the Business Support function
Reviewing and improving internal systems, procedures and reporting
Ensuring processes are documented, communicated and consistently followed
Identifying inefficiencies, risks and gaps across the business
Working with managers to implement practical business improvements
Managing Monday.com boards and ensuring reporting remains accurate and current
Monitoring outstanding actions and ensuring matters are followed through to completion
Supporting the implementation of new systems, processes and business initiatives
Supporting finance administration and internal financial processes
Monitoring quotations, purchase orders, job orders and invoicing workflows
Assisting with month-end reporting and ensuring required information is provided
Working with the finance team to identify outstanding actions, information or approvals
Monitoring workflow compliance between finance, operations and business support
Supporting the CEO with commercial reporting and business performance information
Ensuring financial records and supporting documentation are complete and accurate
Monitoring client feedback, service requests and outstanding commitments
Supporting the preparation of client reports, contract reviews and meeting documentation
Communicating professionally with clients when required
Ensuring client concerns and agreed actions are assigned and followed through
Supporting senior managers with client communication and relationship management
Reporting on client satisfaction, service performance and emerging risks
Helping ensure the business delivers a consistent and professional client experience
Managing and monitoring the company’s compliance obligations
Ensuring required licences, certifications, records and business documentation remain current
Supporting internal and external audits
Working with relevant managers to maintain workplace, quality, safety and environmental requirements
Monitoring compliance actions and ensuring corrective items are completed
Maintaining accurate policies, procedures, registers and supporting evidence
Escalating business risks or non-compliance matters to the CEO
Working directly with the CEO to manage business priorities and emerging requirements
Supporting the CEO in coordinating senior managers and their teams
Preparing management reports, meeting agendas, action plans and business updates
Following up decisions and actions arising from leadership meetings
Improving communication and accountability across departments
Providing the CEO with clear, accurate and timely information
Handling confidential and sensitive business matters with complete discretion
Acting as a dependable link between the CEO, senior managers and support teams
Proven experience leading and managing an administration, business support or shared-services team
Strong people-management skills, including coaching, delegation, accountability and performance management
The confidence to step into challenging situations and provide clear direction
Experience improving business systems, processes and team workflows
Strong commercial awareness and an understanding of how different business functions work together
Experience supporting finance administration, reporting or commercial processes
Strong written and verbal communication skills
The ability to communicate confidently with clients, employees and senior managers
Excellent organisation and the ability to manage competing priorities
A proactive, solutions-focused approach and a willingness to take ownership
Strong attention to detail and a commitment to accurate reporting
The ability to analyse information, identify gaps and recommend improvements
Confidence learning new systems and adapting as the position develops
Experience with Monday.com, MYOB, Microsoft Office or similar business platforms would be highly regarded
Experience in cleaning, facilities management or another service-based business would be advantageous but is not essential
Absolute professionalism, reliability and discretion
You may not have previously held responsibility for every area included in this position. What matters most is that you are an experienced people leader who can bring structure, accountability and consistency to a busy team.
You will be comfortable working in an evolving environment where not every process has already been defined. You will work alongside the CEO to understand the business, identify its needs and shape the role as the company continues to grow.
You will know when to take ownership, when to involve others and when to escalate a matter. You will be practical, resilient and willing to work through challenges until the right outcome is achieved.
