About the role
If you’re an experienced receptionist who thrives in a busy environment, enjoys helping people and genuinely loves animals, we’d love to hear from you.
We are a progressive veterinary team committed to providing exceptional care for pets and exceptional service to their owners. We have been proudly caring for our local community for many years, and our success comes from having a team that genuinely cares about what they do.
We’re looking for a confident, compassionate and highly organised Veterinary Receptionist to join our team on a part-time basis.
This is a role where no two days are the same. You’ll be at the heart of the practice, helping clients and their pets, supporting our veterinary and nursing teams, coordinating appointments and ensuring the day runs as smoothly as possible.
About the RoleAs one of the first and last points of contact for our clients, you’ll play an important role in creating a positive experience for every pet and every person who walks through our doors.
Your responsibilities will include:
Providing warm, professional and compassionate service to clients and their pets.
Managing a high volume of telephone enquiries, including both incoming and outgoing calls.
Welcoming clients and assisting them throughout their visit.
Managing email enquiries and client communications.
Coordinating daily appointments, follow-ups and scheduling requirements.
Working closely with veterinarians and nurses to prioritise patients and keep the day running efficiently.
Communicating with clients regarding appointments, treatment plans, follow-ups and results.
Coordinating with external veterinary and pet healthcare providers where required.
Processing payments, handling EFTPOS and cash, and completing end-of-day balancing.
Using practice management and communication systems to coordinate information between team members and clinic locations.
Requesting pathology results, samples, records and other documentation from external providers.
Supporting the team with emergency cases and communicating changing priorities effectively.
Managing sensitive, emotional and occasionally challenging client interactions with empathy and professionalism.
Maintaining accurate records and completing administrative tasks.
Keeping reception and client-facing areas clean, organised and welcoming.
Developing your knowledge of general pet health and veterinary services.
Working across multiple clinic locations when required.
We’re looking for someone who is more than just a receptionist. You’ll be an important part of the team and someone our clients and colleagues can rely on.
You will ideally have:
At least 2 years' experience in a reception or customer service role.
Excellent verbal and written communication skills.
Strong organisational skills and the ability to manage multiple priorities.
A calm and professional approach when things become busy or unexpected.
A genuine ability to connect with people and build positive, long-term relationships.
A positive, enthusiastic and solutions-focused attitude.
Confidence dealing with difficult or emotional conversations.
Excellent attention to detail and a strong sense of accountability.
Professional presentation and a warm, approachable personality.
A willingness to learn and continually develop your knowledge.
The ability to work effectively as part of a multidisciplinary team.
Experience in veterinary nursing, veterinary reception, animal care or human healthcare would be highly regarded, as would animal handling experience — but it is not essential.
Most importantly, we're looking for someone who genuinely cares about people, animals and providing a great client experience.
The EnvironmentVeterinary reception is fast-paced and can be unpredictable. There will be busy periods, emergencies, emotional conversations and plenty of competing priorities.
The right person for this role will enjoy that environment rather than be overwhelmed by it.
You’ll be supported by an experienced veterinary team and given the opportunity to develop your knowledge and skills in a professional, caring and supportive workplace.
We believe people do their best work when they feel valued, supported and part of something bigger.
What We OfferAbove-award remuneration, commensurate with experience.
A supportive, experienced and friendly team.
A positive workplace where your contribution is valued.
Ongoing opportunities to learn and develop your veterinary and customer service knowledge.
Staff incentives and employee discounts.
A varied and rewarding role within a growing veterinary business.
Minimum 25 hours per week, with additional hours available by negotiation.
The opportunity to work alongside experienced veterinarians and nurses and develop valuable industry knowledge.
A workplace where no two days are the same!
This is a part-time position, with the opportunity for additional hours depending on business requirements and your availability.
The practice operates across a 7-day roster, with shifts between approximately 6:30am and 7:30pm, including weekends and public holidays.
The position is available for an immediate start.
A current driver's licence and access to reliable transport are required, as the role may involve working across multiple clinic locations.
Applicants must have Australian working rights.
Ready to Join Us?If you’re an experienced receptionist who wants more than just a job — and you’d love to be part of a team that genuinely cares about its clients, patients and people — we’d love to meet you.
Apply now with your resume and a cover letter telling us a little about yourself and why you think you’d be a great fit for our team.
