Spencer Systems is a second-generation family-owned business servicing the commercial laundry and dry-cleaning industry across Australia. With one of the largest service teams in the sector, we pride ourselves on technical capability, responsiveness and long-term customer relationships.

We are seeking a highly organised and proactive Service Coordinator to join our Operations team and play a critical role in keeping our field technicians productive, customers informed, and jobs flowing efficiently.

About the Role

This is a fast-paced coordination role responsible for organising and facilitating our trade-based service team to complete works in a timely and cost-effective manner.

You will be the central point of communication between customers, technicians, spare parts, warehouse and accounts — ensuring every technician knows what their next job is and every customer knows what to expect.

Key Responsibilities

• Answer and respond to incoming service requests and log jobs in Simpro

• Schedule service appointments and confirm attendance with customers

• Prioritise and allocate jobs based on urgency, technician skillset and geography

• Sequence technician runs to maximise completion rates and minimise travel

• Ensure technicians always have sufficient works assigned

• Reschedule incomplete works and action follow-up tasks

• Create and schedule return-to-site (RTS) calls

• Coordinate parts ordering where required

• Review and adjust daily job board allocations to eliminate scheduling gaps or overlaps

• Proactively schedule recurring maintenance services

• Maintain strong customer relationships through a help-first mentality

• Ensure all Simpro tasks are actioned promptly

• Contribute to a safe and compliant workplace culture

About You

You are structured, decisive and calm under pressure. You enjoy solving scheduling puzzles and keeping moving parts aligned.

To be successful in this role, you will have:

• Proven experience coordinating a field-based service team

• Strong proficiency in service management software (Simpro experience highly regarded)

• Excellent time management and organisational skills

• Clear and confident communication skills

• Ability to prioritise effectively in a dynamic environment

• Ideally, knowledge of laundry or dry-cleaning equipment (advantageous but not essential)
