Front Office & Administrator Coordinator

This is a pivotal role that serves as the face of the office and the engine room for sales consultants. You will manage the front-of-house experience while providing critical administrative and marketing support to ensure the sales team can focus on what they do best.

Key responsibilities

• Orchestrate the daily opening and preparation of the office

• Manage all incoming calls with a focus on efficient triaging and professional message taking

• Process contracts and coordinate listings within CRM systems

• Ensure all AML (Anti-Money Laundering) compliance checks are initiated promptly

• Spearhead internal culture and community outreach, including organising staff events and managing sponsorships and donations

• Coordinate seasonal client and community giveaways.

• Arrange for the team to attend local community events and coordinate community connections and interviews for social media

• Manage and schedule social media content.

• Act as a central vector for communication between agents, solicitors, vendors, and purchasers to ensure a seamless sale-to-settlement workflow

• Coordinate settlement hampers and maintain high standards for the front-office aesthetic

• Radical Competence: You are a self-starter who identifies gaps in workflows and proactively offers support before being asked.

• Tech-Savvy: Proficiency in Canva and CRM systems.

• Disarming Warmth: You possess a bubbly, professional personality that stabilises the office environment and welcomes clients.

• Precision: High attention to detail, particularly regarding contract accuracy and compliance.
