Import / Export Air Freight Operator

Position Summary

We are seeking an experienced and detail-oriented Import / Export Air Freight Operator to manage the end-to-end coordination of international freight movements. The successful candidate will be responsible for import and export operations, customs documentation, cargo tracking, stakeholder communication, and ensuring compliance with all regulatory requirements. This role requires strong organizational skills, excellent customer service, and the ability to work effectively in a fast-paced logistics environment.

Key Responsibilities

Freight Operations

• Monitor cargo availability and shipment status to ensure timely movement of freight.

• Coordinate import deliveries and export shipments from origin to final destination.

• Arrange bookings and follow up on shipment orders with carriers and service providers.

• Track and manage freight movements, identifying and resolving operational issues promptly.

• Ensure smooth cargo flow while meeting customer and company requirements.

Customer & Stakeholder Communication

• Liaise with shipping lines, airlines, transport providers, clients, customs brokers, and overseas agents.

• Provide regular shipment updates and booking confirmations to customers.

• Maintain strong relationships with clients and business partners through professional communication and responsive service.

• Resolve customer enquiries and operational issues in a timely manner.

Documentation & Compliance

• Prepare, process, and maintain accurate import and export documentation, including:

• Export Declarations (EDN)

• PRA documentation

• Import Declarations

• Bills of Lading and Air Waybills

• Delivery Orders and supporting shipping documents

• Ensure compliance with Australian Customs, Border Force, Biosecurity, and Quarantine regulations.

• Coordinate customs clearance and quarantine inspections where required.

• Maintain accurate records and filing systems in accordance with company procedures.

Administration & Finance

• Prepare and process customer and supplier invoices.

• Verify freight charges and operational costs.

• Perform data entry, filing, and other administrative duties as required.

• Maintain accurate shipment records within the company operating system.

Regulatory & Government Agency Coordination

• Liaise with government agencies and regulatory authorities to facilitate customs clearance and cargo movement.

• Ensure all documentation and permits are completed accurately and submitted within required timeframes.

• Monitor compliance requirements and industry regulations affecting freight operations.

Skills & Experience

• Previous experience in Import/Export Freight Forwarding, preferably Air Freight Operations.

• Strong knowledge of customs clearance procedures, import/export documentation, and quarantine requirements.

• Experience using CargoWise or similar freight management systems is highly desirable.

• Excellent communication and customer service skills.

• Strong attention to detail and ability to manage multiple shipments simultaneously.

• Sound problem-solving and organizational skills.

• Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.

Employment Type: Contract 8 to 12 Months
