Administration Manager

Ramsay Clinic Caloundra is seeking an experienced, motivated Administration Manager to lead our hospital administration team. Reporting to the General Manager, you will guide and support administrative professionals across reception, consulting suites, wards, day units, and theatres. This is a key leadership role focused on driving continuous improvement, operational efficiency, and administrative excellence.

What You will Do:

As the Administration Manager, you will play a key role in ensuring the smooth and efficient operation of administrative services across the hospital.

Your responsibilities will include:

• Team Leadership: Lead, mentor, and onboard staff; manage rosters and leave; and foster a collaborative, accountable culture.Providing hands-on assistance in frontline admin roles when needed.
• Operations & Systems: Serve as the subject matter expert for admin systems, step in for frontline support when needed, and drive efficiency with the General Manager. Assisting with recruitment, onboarding, and ongoing training and development of staff.
• Financial & Admin Oversight: Manage banking, cash handling, and accurate billing processes to meet revenue KPIs.
• Quality & Service: Maintain high standards of confidentiality, professionalism, and customer service.
• Working closely with the General Manager to drive continuous improvement and operational efficiency.

You are a proactive, people-focused leader with a passion for operational excellence and exceptional customer service. Known for your strong communication skills and attention to detail, you thrive in dynamic environments and are confident managing competing priorities.

What You Will Bring:

• Proven team management experience, ideally in a healthcare setting, with a talent for rostering and overseeing large workgroups.
• Strong command of performance metrics, budgets, and administration KPIs.
• Solid understanding of medical terminology and health fund contract requirements.
• Experience with Meditech or similar patient administration software (highly regarded).
• A proactive, flexible, and people-focused approach dedicated to operational and service excellence.
