About the role
We are seeking a Coordinator, Events and Administration to join the Deafness Forum Ltd team on a 12-month 20-hour per week contract basis. This position is fully remote and is integral to the smooth delivery of our events programme and the effective functioning of our administrative operations. In this role, you will be responsible for coordinating and managing a range of events while providing essential administrative support across the organisation. This position plays a vital role in ensuring our events run efficiently and achieve our objectives.
Key responsibilities
Planning, coordinating and executing events including conferences, seminars, workshops and community gatherings
Managing event logistics, such as venue selection, catering, equipment hire and accessibility requirements
Liaising with internal teams and external stakeholders, including vendors and service providers, to ensure event success
Developing and maintaining event budgets, processing invoices and reconciling expenditure
Creating and distributing event marketing materials, promotional communications and registrations
Providing administrative support to senior staff
Managing databases, filing systems and organisational records
Coordinating scheduling, booking meetings and managing calendars
Preparing reports and correspondence as required
Supporting the organisation's commitment to accessibility by ensuring all events are inclusive and meet the needs of deaf and hard of hearing participants
What we're looking for
Proven experience in event coordination or event management, ideally in a not-for-profit or community sector environment
Strong administrative and organisational skills with meticulous attention to detail
Excellent communication and interpersonal abilities, with the capacity to work effectively with diverse groups
Proficiency with Microsoft Office suite and event management software
Experience managing budgets and financial reconciliation
Demonstrated ability to manage multiple projects simultaneously and meet deadlines
Problem-solving skills and flexibility in a fast-paced environment
A genuine commitment to inclusion and understanding of deaf and hard of hearing community needs
High level of professionalism and discretion when handling sensitive information
Preferred: experience working with deaf and hard of hearing communities or within disability services
Preferred: knowledge of accessibility standards and inclusive event planning practices
