Administration Assistant

Based at our Malaga Operations, a great amount of flexibility to be able to take on a number of different tasks at once is required. You should be an effective problem solver with great attention to detail, have a proactive approach and be a real team player who thrives being in an open team environment.  

Duties

• Liaising with customers and plumbers in relation to equipment supply and job requirements;
• Answering phones and handling queries;
• Generating sales orders and converting into invoices;
• Preparation of job folders;
• Raising and receipting of purchases orders;
• Processing credit card payments over the phone;
• Warranty claims lodgement;
• Ensuring all relevant job documentation has been received, is accurate and uploaded to relevant systems.
• Ensure that incentive documentation for STCs is returned complete, accurate and in a timely manner and in line with the regulatory requirements;
• Ensuring that customer accounts are in line with their credit terms, including following up outstanding balances and escalating where required;
• Other Administrative duties as required.

Skills & Experience

• Minimum 2 years of experience in a similar role,
• Advanced MS office skills including Word and Excel,
• Strong attention to detail,
• Ability to use initiative and work under pressure,
• Self-motivated and can work with minimum direction and supervision,
• Professional, mature, and friendly approach,
• Ability to effectively prioritise conflicting tasks,
• Ability to communicate concisely and effectively.
• Demonstrated experience in the use of ERP systems (MYOB EXO preferred),

Requirements

• Drivers Licence,
• Successful applicants will hold a current police clearance or be able to provide one within one month of commencing employment, 
• The position is open to Australian citizens and/or persons that have a legal, valid right to work in Australia.
