Pre-Contracts Coordinator

Aspect is a multidisciplined team (SMP E&I) with a strong track record of project delivery including design, construction, commissioning and operational support. Aspect provides services to a wide range of industries both nationally and internationally.

We are seeking a experienced Pre-Contracts Coordinator.

This role manages the administrative, commercial, and operational workflow of the tender and bidding process, bridging the gap between business development, estimating, and project delivery teams to secure new contracts.

Key Responsibilities

• Tender Coordination: Manage end-to-end tender and bid documentation, ensuring timely and compliant submissions. Book and run meetings and follow-up all members.

• Commercial Review: Liaise with the legal and commercial teams to review incoming tender specifications, scopes of work, and contract terms.

• Subcontractor Engagement: Help source, evaluate, and request quotes (RFQs) from suppliers and subcontractors.

• Documentation: Identify tender documentation requirements and populate all tender deliverables including plans, procedures, returnable schedules etc.

• Stakeholder Liaison: Communicate with estimators, commercial managers, legal teams, and external clients.

• Handover Management: Package and transition tender information smoothly to the project delivery team upon contract award. 

Key Requirements

• Background in contracts administration, procurement, or estimating support within construction, engineering, or related industries.

• Strong organization, commercial awareness, document control, and attention to detail.

Qualifications:

• Tertiary qualification in Construction Management, Quantity Surveying, Commerce or Business.
