Advance Diversity Services (ADS) is a respected community-based organisation dedicated to supporting Culturally and Linguistically Diverse (CALD) communities in South East Sydney. We are seeking a dedicated and versatile Administration Officer to join our friendly team. This is a fantastic opportunity to provide crucial support that enables our vital services for recent arrivals, older people, people with disabilities, and their carers.
About the Role:
As the Administration Officer, you will be the central hub of our office operations. Working under the guidance of the Corporate Services Manager, you will ensure the smooth and efficient running of our offices through a wide range of administrative, reception, and coordination tasks. Your role is key to maintaining our professional standards and supporting our teams to deliver exceptional service to the community.
We have flexibility! This position is available as either a full-time or part-time role, based across our Hurstville and Kogarah locations.
Key Responsibilities:
Reception & Front Desk: Be the welcoming first point of contact, managing the switchboard, greeting clients, and handling general enquiries.
Procurement & Stock Control: Coordinate purchasing of office supplies, manage inventory, and maintain the asset register.
Data Entry & Reporting: Accurately enter and maintain client and service data, generate reports, and ensure the integrity of our information systems.
Office Coordination: Provide general administrative support including filing, mail, petty cash management, and ensuring office tidiness.
Team Collaboration: Work effectively within a diverse team, supporting various programs and contributing to a positive workplace culture.
We Are Looking For Someone With:
Essential Experience & Skills:
Minimum 3 years of experience in a broad administration role (reception, data entry, procurement).
Qualification in Business Administration or equivalent demonstrated experience.
Advanced skills in MS Office (Excel, Word), Google Workspace, and high-accuracy data entry abilities.
Proven experience in stock control, purchasing, and using related systems.
Excellent communication, organisational skills, and a proactive attitude.
Ability to work both autonomously and collaboratively, with unwavering discretion.
A satisfactory National Police Check or NDIS Worker Screening Check
Desirable:
Experience with CRM systems and Xero accounting software.
Background in community services, not-for-profit, or CALD-focused organisations.
Cash handling experience and a current First Aid certificate.
