Event Manager - Samphire Rottnest

We are excited to announce an opportunity for an experienced and passionate Event Manager to join our team on Rottnest Island, overseeing events across Samphire Rottnest, Hotel Rottnest, and Isola Bar e Cibo. 
 
Role Overview
The Event Manager leads the operational planning and execution of all events across the venue portfolio, ensuring effective coordination of staffing, logistics, suppliers, facilities, food and beverage delivery, and guest services.

Working closely with the leadership team, culinary teams, operational departments, and external contractors, the Event Manager ensures all events are delivered safely, efficiently, on schedule, and in accordance with organisational standards, budgets, and service expectations. 

Key Responsibilities

• Oversee the successful planning and execution of weddings, conferences, corporate functions, educational groups and special events across our venues.
• Be the primary point of contact for clients before, during and after major events.
• Prepare accurate and timely event proposals, quotations and contracts.
• Produce detailed Event Orders (BEOs) and function run sheets.
• Coordinate labour, staffing, equipment and operational resources for events.
• Liaise with kitchen, bar, operations and external suppliers to ensure smooth execution.
• Lead onsite event operations, ensuring all logistics, staffing, vendor deliverables, venue requirements, and service standards are executed according to plan.
• Oversee event setup, delivery, and pack-down activities, proactively resolving operational issues to ensure a seamless guest experience.
• Manage event billing, invoicing and follow‑up communications
• Concert Program (Hotel Rottnest) - Assist management with the planning and facilitation of large-scale events. Ensure hands-on delivery of concerts at Hotel Rottnest.

About you:

• Proven experience in events, conferencing or hospitality management
• Strong organisational skills with exceptional attention to detail
• Excellent communication and client‑relationship skills
• Commercially minded with the ability to upsell and maximise event revenue
• Comfortable managing multiple events across different venues simultaneously
• Familiarity with Ivvy event management systems and H&L POS/finance processes is desirable

This is a commuter role requiring regular travel from the mainland to Rottnest Island.
